How Should Damaged Packages Be Handled During International Peptide Shipping?

My shipment arrived with damaged packaging. What evidence should I collect and who should I notify?

General Answer

When a peptide shipment arrives with damaged packaging, treat it as a chain-of-custody and cold-chain integrity problem, not just a cosmetic one. Peptides are sensitive to temperature and physical stress, so the first priority is to document everything before touching or discarding anything, then notify the right parties in the right order.

Step 1 — Document before you open. Photograph the outer box from multiple angles, including all labels, tracking barcodes, and any visible crush, puncture, water staining, or tape failure. Photograph the temperature logger or indicator if one is present, and note the exact time of delivery. If the package feels warm or shows evidence of thawing, photograph the inner insulation and any phase-change packs before removing the product. Keep the original packaging, inserts, and gel packs; do not throw them away, because they are your evidence.

Step 2 — Inspect the contents carefully. Open the package in a clean, cool area and photograph the inner contents, including vials, caps, seals, and any desiccant or cold packs. Check for cracked vials, loose caps, discoloration, or condensation. For lyophilized peptide powder, look for melting or clumping; for liquid peptide products, look for cloudiness or leakage. Record the ambient temperature and the condition of the cold packs at the moment of opening.

Step 3 — Collect the right evidence. Useful evidence includes: delivery receipt and tracking number; photos and video of the unopened and opened package; temperature logger data if available; the product label and batch number; a written note of the time, date, and weather conditions at delivery; and any communication with the courier. If the package was left unattended, note where and for how long.

Step 4 — Notify in the correct order. First, contact the seller or shipper immediately, ideally within 24 hours, and send the photos and a short written description. Second, notify the logistics provider or freight forwarder that handled the shipment, quoting the tracking number and describing the damage. Third, if the shipment was insured or shipped under a DDP arrangement, ask the shipper to open a claim on your behalf. Keep a written record of every message and response.

Step 5 — Decide whether to accept or reject. Do not use or discard the product until the shipper confirms how to proceed. If cold-chain integrity is clearly compromised, request a replacement or refund and ask the shipper to arrange return or disposal according to their instructions. If the damage is minor and the product appears intact, the shipper may still ask you to keep the packaging for inspection.

How our fulfillment process supports this. In our operation, professional repackaging uses EPS insulated boxes, PCM phase-change coolants, and temperature loggers (Step 3), and order fulfillment and cold-chain packaging follow the same standard (Step 8). Overseas cold storage keeps lyophilized powder at −20°C and liquid products at 2–5°C (Step 6), and inventory management syncs temperature-logger data (Step 7). Local last-mile delivery (Step 9) and final delivery with COD where supported (Step 10) are the points where damage most often becomes visible, so the logger data and packaging evidence from Steps 3 and 8 are exactly what you should preserve and share.

Practical tips. Film a short unboxing video; it is the single most persuasive piece of evidence. Note the delivery time and temperature. Keep all packaging for at least the claim window. Report damage the same day, because delay weakens claims. Finally, ask the shipper whether the temperature logger recorded any excursion, since that determines whether the product is still usable.
